The Lymphoma Research Foundation (LRF) seeks an Operations Coordinator to support its Operations Department. Reporting to the Associate Director of Operations, the Operations Coordinator will play an integral role in supporting the everyday functions of the Foundation and will take responsibility for all aspects of office operations. The coordinator will play a critical role in ensuring office operations are run efficiently.

Responsibilities

  • Greeting visitors, effectively answering, and directing incoming phone calls and emails, receiving, and distributing incoming mail and packages to staff/storage room
  • Taking ownership of creating a clean, organized, and professional office environment, including the kitchen, supply room, conference rooms, and various equipment
  • Coordinating office supply orders for the New York office; fulfilling supply requests for remote staff
  • Liaise with building management, including requesting changes to suite security access, work orders, etc.
  • Maintaining vendor relationships for office supplies, services, and equipment
  • Managing offsite storage and record management process and other related record keeping
  • Assisting the Associate Director of Operations with the hiring, onboarding, and offboarding processes as needed
  • Coordinating logistics for meetings (virtual, in-office, or off-site), including regularly scheduled Board Meetings
  • Entering staff time off requests and working with the finance team to ensure accuracy
  • Maintaining sales tax exemptions and other filings
  • Supporting traveling and remote staff members with logistics as needed
  • Assist CEO and Associate Director of Operations with administrative tasks as needed
  • Maintaining and organizing internal organizational calendar of events
  • Reviewing and updating staff and Board of Director records in CRM as needed
  • Assisting with recurring data hygiene tasks
  • Triaging staff requests and elevating to outsourced IT vendor as appropriate
  • Assist during organization events, as needed
  • Other projects as required

Qualifications

  • Bachelor’s degree required, previous administrative/operations experience preferred
  • Customer service oriented, strong interpersonal skills with the ability to work effectively across departments
  • Strong work ethic and eager to learn new skills
  • Excellent written and verbal communication skills
  • Tech savvy with proficiency in Microsoft applications. Previous experience with Raiser’s Edge or similar CRM a plus
  • Must be able to lift/move boxes/equipment up to 35 lbs
